Executive Assistant

Executive Management Department in Property and Casualty Division

​

Purpose
  • Provide high-level administrative support and assistance to the Executive Management and/or other assigned leadership staff

​
Responsibilities 
  • Perform clerical and high-level administrative tasks including drafting letters, memos, invoices, reports, and other documents for Executive Management and/or senior staff

  • Receive incoming communication or memos on behalf of Executive Management and/or senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff

  • Assist Executive Management in gathering data and routine reports from various departments, analyzing and preparing necessary reports

  • Provide information by responding to questions and requests to internal and external customers

  • Manage calendar for Executive Management by scheduling and coordinating meetings and appointments

  • Handle travel arrangements, hotel reservations and car rentals for Executive Management and other senior staff

  • Assist with hotel reservations and car rental for off island guests

  • Perform general administrative duties such as write correspondence, check requests, business expense reimbursements and renewals of subscription journals

  • Research and book venues for company functions, training and special events

  • Assist with the coordination of the company’s participation in sponsorship of events such as 5K runs, Golf Tournaments and other fundraisers

  • Performs office tasks including maintaining records, ordering supplies, and ensuring office machines maintenance and service is scheduled

  • Any other job related duties as assigned by executives and/or senior staff

Position Requirements

  • High School Diploma required

  • At least four years of related experience preferred

  • Excellent verbal and written communication skills

  • Excellent organizational skills and attention to detail

  • Excellent time management skills with a proven ability to meet deadlines

  • Ability to function well in a high-paced and at times stressful environment

  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems

  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software
